The legal foundation of the TopBJJ Kids platform: how we run the service, and how we handle your data.

This page reflects how the TopBJJ Kids platform currently operates. For binding interpretation in case of dispute, the Dutch version prevails.

1. Acceptance of these terms

By creating an account on TopBJJ Kids or by participating in any event organised through the platform, you agree to these Terms. If you do not agree, do not register or attend.

For athletes under 16, registration must be performed by a parent or legal guardian, who accepts these Terms on the athlete's behalf.

2. Who we are

TopBJJ Kids is operated by MatMaster, trade name of Victor Diniz de Araújo (sole proprietorship), based in Tilburg, the Netherlands, registered with the Dutch Chamber of Commerce under number 96115165. You can contact us at victor@bolinha.nl. VAT number: NL005192974B41.

3. Our service

TopBJJ Kids is a neutral, invitational training platform for youth Brazilian Jiu-Jitsu athletes (typically aged 8–15) across the Netherlands, Belgium, Luxembourg, Germany and France. We coordinate training sessions hosted at independent partner academies, match training partners, and publish event galleries.

Standard invitational sessions are free. Special events such as camps or seminars may have a participation fee, processed via Mollie.

TopBJJ Kids is not a competition team and does not replace your home academy. Our purpose is to make athletes better for their own teams.

4. Accounts and registration

Authentication is passwordless: we send a one-time login code by email. You are responsible for keeping your email account secure. Login codes must not be shared.

You must provide accurate information (name, date of birth, weight, belt, academy). False information may result in invitations being withdrawn or your account being suspended.

One person, one account. Parents/guardians manage their own account and may register one or more athletes under it.

5. Minors

Athletes under the age of 16 cannot register independently. Their parent or legal guardian creates the account, accepts these Terms, and is responsible for all interactions with the platform on the minor's behalf.

A guardian may withdraw a minor's data and account at any time by emailing victor@bolinha.nl.

6. Event admission is invitational

Participation is by invitation only. TopBJJ Kids may decline, withdraw or limit invitations at its discretion to protect athlete safety and pairing quality. Pairing decisions are based on weight, age, gender, experience and academy.

Not receiving an invitation for a specific event does not affect future eligibility.

7. Code of conduct and "poach-free zone"

TopBJJ Kids is neutral ground. Recruiting athletes (poaching) by attending coaches, parents or athletes is strictly prohibited.

Mat etiquette, respect for the host academy, and listening to staff and host coaches are required at all times.

TopBJJ Kids may remove participants — temporarily or permanently — for unsafe behaviour, harassment, recruitment, or repeated breaches.

8. Safety and inherent risk

Brazilian Jiu-Jitsu is a contact sport with inherent risk of injury. By participating, athletes and their guardians acknowledge and accept this risk.

Relevant medical conditions (e.g. asthma, heart conditions, recent injuries) must be disclosed before training. We strongly recommend that athletes carry adequate sports insurance.

9. Cancellation and no-shows

If you cannot attend after accepting an invitation, cancel via the portal as soon as possible so we can reassign your training partner. Repeated unannounced no-shows may lead to temporary exclusion from future invitations.

10. Payments for special events

Where a fee applies (camps, seminars), payments are processed by Mollie B.V. We do not store full payment-instrument data ourselves.

Refund policy: payments for camps and special events are non-refundable. Under Article 6:230p sub e of the Dutch Civil Code, the statutory right of withdrawal (14-day cooling-off period) does not apply to leisure activities scheduled on a specific date. If we cancel or materially change the event, you will receive a full refund.

11. Photos and video

TopBJJ Kids photographs and films events. By registering you grant permission for the athlete to be photographed and filmed for use on the platform and on TopBJJ Kids social channels. Details, including how to request removal, are in the Privacy Policy.

12. Intellectual property

All content on the platform — including photos, videos, articles and the TopBJJ logo — is owned by TopBJJ Kids or its partners. Personal use by athletes and guardians (including sharing on social media with a tag to @topbjjkids) is allowed. Commercial use requires prior written consent.

13. Liability

To the maximum extent permitted by law, TopBJJ Kids is not liable for personal injury, loss of personal property, or indirect or consequential damages. Liability is in any case limited to the amount the athlete paid for the relevant event in the preceding 12 months; for free invitational sessions liability is excluded to the extent permitted by law.

Nothing in these Terms excludes liability that cannot be excluded under Dutch law.

14. Termination

You may close your account at any time by emailing victor@bolinha.nl. We may suspend or terminate accounts that breach these Terms.

15. Changes to these terms

We may update these Terms. Material changes will be announced by email to registered users at least 14 days before they take effect. Continued use after the effective date constitutes acceptance.

16. Governing law and disputes

These Terms are governed by Dutch law. Disputes will be submitted to the competent court in Zeeland-West-Brabant, unless mandatory law dictates otherwise.

17. Effective date and version

These Terms are effective as of the "Last updated" date shown at the top of this page. The most recent version supersedes all previous versions.

The controller for personal data processed via TopBJJ Kids is MatMaster, trade name of Victor Diniz de Araújo (sole proprietorship), based in Tilburg, the Netherlands, registered with the Dutch Chamber of Commerce under number 96115165. For privacy questions or to exercise your rights, contact victor@bolinha.nl. Appointing a Data Protection Officer is not legally required at our scale; you can contact us directly via the email above.

2. What we collect

Per role:

Athletes: name, date of birth, gender, weight, BJJ belt, primary academy, profile photo, and city/country. We do not collect health, medical or allergy data.

Guardians: name, email, phone, relationship to the athlete.

Coaches and hosts: profile data, affiliated academy or location, qualifications.

Account-level: email address (used for login codes), authentication tokens, session data.

Event data: invitations, attendance, feedback, carpool preferences, poll responses.

Photo and video collections from events.

Payment metadata for special events (status, amount, reference). Card data is handled by Mollie; we do not see or store it.

Analytics: page views and interaction events captured by PostHog (EU cloud, eu.i.posthog.com). IP addresses are recorded under PostHog's default settings and remain within the EU.

Communication data: emails we send (login codes, invitations, reminders) and unsubscribe records.

3. Why we process your data

To run the platform: account management, event matchmaking, attendance tracking, photo galleries.

To communicate: invitations, reminders, important updates.

To process payments for paid events.

To improve the platform via aggregated analytics.

To comply with legal obligations (e.g. tax retention).

4. Legal basis (GDPR Art. 6)

Performance of a contract — running your account and events.

Consent — for photo/video publication, marketing emails, and analytics where applicable.

Legitimate interests — platform safety, abuse prevention, and improving our service.

Legal obligation — financial records and lawful requests.

You can withdraw consent at any time without affecting prior lawful processing.

5. Children's data

For athletes under 16, processing is based on the consent of the parent or legal guardian. We do not send marketing emails directly to minors. A guardian can request access, correction or deletion of a minor's data at any time.

6. Photos and video

Event photos and videos are published in galleries that are restricted to event participants and their guardians (password-protected) and on TopBJJ Kids public social channels.

You may request that a specific photo or video be removed by emailing victor@bolinha.nl. We will act on reasonable requests without undue delay.

7. Who we share data with

We use the following processors and third parties. We do not sell personal data.

Mollie B.V. (Netherlands) — payment processing for paid events.

PostHog — product analytics. Region: EU cloud (eu.i.posthog.com).

Email delivery: Google Workspace (Google Cloud) — sending login codes, invitations, reminders.

Hosting: Hetzner Online GmbH, data centers in Germany (EU).

Host academies — receive attendance and pairing lists for the events they host, limited to what is necessary.

Google and Microsoft — only if you log in via Google or Microsoft single sign-on.

Authorities — only when required by law.

8. International data transfers

Our main processors — Mollie (NL), PostHog (EU cloud) and Hetzner (DE) — process your data within the EU/EEA. Google Workspace processes email traffic primarily in the EU; any incidental transfer to third countries is covered by the European Commission's Standard Contractual Clauses included in the Google Workspace Data Processing Addendum.

9. How long we keep data

Account data: while your account is active, plus 12 months after closure unless you request earlier deletion.

Event data: 5 years for historical records.

Payment records: 7 years (Dutch tax law).

Photos and videos: published until removal is requested or the gallery is taken offline.

Analytics: 12 months in PostHog.

Communication logs: 24 months.

10. Security

We use HTTPS for all traffic, passwordless email-code authentication, role-based access controls, and standard hosting-level safeguards. No system can guarantee absolute security; if a breach affects your data, we will notify you and the Dutch Data Protection Authority as required.

11. Your rights (GDPR Art. 15–22)

You have the right to: access, rectification, erasure ("right to be forgotten"), restriction of processing, data portability, objection, and withdrawal of consent.

To exercise any right, email victor@bolinha.nl. We will respond within one month and may extend by two months for complex requests.

12. Cookies

We use strictly necessary cookies for sessions, language preference and CSRF protection — these do not require consent.

Analytics cookies (PostHog) are set to measure page views and interactions. A cookie consent banner is not yet in place; until it is, you can block analytics by disabling cookies in your browser or using a privacy extension. We are working on a full consent banner.

13. Automated decision-making

Athlete-pairing suggestions are generated algorithmically (weight, age, gender, experience, academy). Final invitations are reviewed by humans. We do not perform automated decision-making with legal or similarly significant effects on individuals.

14. Complaints

If you believe we are not handling your data lawfully, please contact us first so we can resolve it. You always have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) via autoriteitpersoonsgegevens.nl.

15. Changes to this policy

We may update this Privacy Policy. The "Last updated" date at the top of this page reflects the latest revision. Material changes will be announced by email.
